Planning a Disney Cruise is exciting — but let’s be honest, it can also feel a little overwhelming, especially if it’s your first time. There are so many moving parts: booking windows, check-in dates, travel logistics, packing lists, and more.
When we booked our first Disney Cruise, I had no idea what I was doing. Although the trip was magical, I was so overwhelmed by how much there was to organise!
That’s why I created my Magical Cruise Planner — to keep everything in one place and help other families stay on top of their Disney Cruise prep without the stress. And in this post, I’m walking you through everything you need to plan before you sail, step by step.

Planning Your Cruise: My Magical Cruise Planner
There’s a lot to think about before your cruise, and that’s exactly why I created my Magical Cruise Planner. It takes you step by step through the entire process – from picking a ship and route, to booking and checklists, to packing and making magical memories. There’s even a version for the kids with activities and autograph pages. You can grab yours in printable or book format.
Key Dates & Deadlines
The first thing to get your head around is the timeline — and when different planning tasks open up.
Disney uses something called the Castaway Club, which affects when you can book activities, check in, and even book cruises:
- Silver (1–4 cruises): Book 90 days before sailing
- Gold (5–9 cruises): Book 105 days before
- Platinum (10–24 cruises): Book 120 days before
- Pearl (25+ cruises): Book 123 days before
- First-time cruisers: Book 75 days before
🕔 Important tip: All booking windows open at 5am UK time (midnight Florida time), so set those alarms!
Make sure to write down:
- When your booking window opens
- When online check-in opens
- When your final balance is due
Inside the Magical Cruise Planner, there’s space to log all of this and more.
Booking & Budgeting
Once you’ve decided on your cruise, it’s time to:
- Compare prices (direct with Disney vs trusted travel agents)
- Record quotes and final costs
- Log payment deadlines and discounts
- Track your savings (because what gets measured gets done!)
You’ll also want to make decisions around your stateroom category — whether you’re going for an Inside, Oceanview, Verandah, or Concierge room. I’ve got a full video breaking this down [linked here] (add link if needed).
Accommodation & Parking
Even if you don’t live far from your departure port (we’re in Wales and usually sail from Southampton), I highly recommend booking a hotel for the night before your cruise. It just removes the stress of traffic and delays on embarkation day.
The Magical Cruise Planner has pages for:
- Comparing hotel options
- Recording booking references
- Planning transport and parking
If you’re sailing from Southampton, we’ve always used AB Parking — it’s right next to the port and really well organised.
Activity & Port Adventure Planning
Some onboard activities book up fast — especially things like:
- Bibbidi Bobbidi Boutique
- Palo and Remy (adult dining)
- Port Adventures (excursions at port)
Make a rough bucket list of what your family might enjoy and check out my videos showing exactly what’s available. That way, when your booking window opens at 5am, you’re not scrambling in a panic.
Outfit Planning & DisneyBounding
You don’t have to dress up for your cruise — but if you want to join in with Pirate Night or DisneyBound your favourite characters, planning outfits ahead of time is half the fun!
I use a grid system in the planner to map out what each person is wearing each day — especially handy if you’ve got character meets or themed evenings in mind.

Packing & Pre-Cruise Prep
My ADHD brain cannot handle packing without a list — and if you’re a parent of neurodivergent children too, you’ll know that forgetting the wrong thing can make or break a day.
The Magical Cruise Planner includes:
- Packing checklists (by family member!)
- Shopping lists for essentials
- Pre-departure checklists
- To-do lists for everything from travel insurance to SIM cards
There’s even a kids’ version of the planner, filled with fun activities to do before the cruise and while waiting at port.
Final Tips Before You Sail
Print off all of your documents after online check-in, double-check your luggage weight, and get those final few things packed the night before.
The planner has daily itinerary pages for you to fill in onboard, plus memory pages to capture all the magical moments during your cruise.
